Road Meeting Notes: Boyd R

  • Introductions, as well as special introductions for the new cottagers (see above)

  • Reading of 2017 previous meeting minutes

    • Note there are extensive notes in the 2017 minutes about bears and what to do if you encounter them

  • Financial Report: Dave L

    • Dave read the financial report for both Miller’s and Preacher’s Point accounts

    • A request was previously made to Preacher’s residents to consider extra fees to cover extraordinary road damage costs. The extra funds received helped the Preacher’s Point account to recover nicely.

    • Miller’s has a balance of approximately $15,355.00 (refer to the most current details here)

    • Preacher’s has a balance of approximately $9,151.00 (refer to the most current details here)

    • Dave reminded everyone that the financial data is available at www.preacherspoint.com

    • Dave thanked all those that remit the fees by email. This method has saved considerable time and effort in managing the funds.

    • Online billing and payment is working extremely well. Easiest year ever even with the highest number of members.

    Road Report: Boyd R

  • At one point, the point had 50 mm of rain in about 20 minutes. Thanks to the previous road work, ditching, and culvert repairs, the road sustained little damage (compared to other years)

  • In 2016, the Preacher’s Point section of the road was severely damaged (referred to above) and required an “extraordinary” request for additional funds – This request was sent in error to some members of the Miller’s Lake portion. Dave clarified the request and ensured that all Miller’s residents were not required to contribute the added fee; they were subsequently refunded by eTransfer.

  • Road Conditions for 2017 – very good shape. Drainage good. Some roadside ponds were filled in and some culverts were cleared

  • Road side clearing – no funds from the accounts were used for road side clearing. Any, or all, clearing and trimming was done by residents

    Snow Plowing – Preacher’s portion

    • Cottagers were reminded that costs for the work done on Preacher’s would be shared by anyone using the roads when snow was present.

    • It was explained that driveways must be in good condition in order to provide the service available with the F150 pick-up with 6’ plow. (reasonably level, free from large rocks, and with reasonable room to push the snow aside)

  • Special thanks were made to Sue (for the food), Dave Long (for the website and financial work) and Barry Boice (for the road work by Blair Sand and Gravel)

  • A request for volunteers was made for the following services:

    • Road side brush work

    • Tree inspection (in order to cut down hazardous trees)

    • Minor pothole repair, when necessary

    • Trimming

    • Road side clearing of fallen trees of branches

  • Signage

    • Reminder that 911 (blue) signs and “Family” signs are acceptable at the entrances to all driveways, but not at the entrance to Miller’s off Boice Bradley

    • A request for “slow” and “yield” signs at “intersections” and “blind spots” was made – no action planned at this time

  • A meeting request for the “Executive Team” was made

    • A discussion has been started to “consolidate” the finances for all three sections of the roads. Further discussion required.

    • Deferred until 2019

  • It was suggested that the new road leading to the properties at 1313 (A, B, C, D, E….), be reported to the township to avoid any confusion for emergency services (to avoid them going down the old road).

    • No action at this time

  • Note: the gate at the entrance to Miller’s will be locked for a day and re-opened in order to meet (legal) requirements to maintain "private road" status – this will be done at a time to avoid disruption of service, approx mid-April

  • Notes and News for 2018

    • Bob and Kathy Younkers announced that they are selling their cottage (see “Post Meeting Notes”)

    • Steve Wismar advised that there is a “spring” near the entrance to their driveway. I believe that this was a damaged culvert (sorry, notes taken may have not been clear) – BR advised Blair Sand and Gravel to replace the culvert (work to be done in May/June 2019)

    • Momma Bear, and Baby Bear(s) were here, ate heartily, and were eventually and safely relocated to a Spa in Arizona

    • Papa Bear…hung around long enough to put giant foot prints in Peter’s freshly made driveway. The rumour that Barry paid the bear to ruin his driveway so that it could be redone, turned out to be false

    • Deer seemed to have returned sporadically to the point

    • A few (giant) Porcupines have been sighted on Miller’s Road (between Zarnett’s and Dagg’s), and on Preacher’s between Chapman’s and MacPherson/Beck’s, and on the Roberton driveway.

    • Porcupine quills were observed in the mouths of Roxy, and Meadow. Both doggies were repaired, and recovered nicely….

    • More Loons than usual have been observed (and heard…at 3 in the morning…)

Meeting adjourned. Dan and Joanne seconded motion to dismiss

    End of Formal Meeting.

    BBQ time

    • Burgers, salads, treats, beer and wine was enjoyed by all that stayed for lunch.

    Post Meeting News

    • It is with great regret that we announce the passing of Gord Sheffee. Gord had most recently worked for Blair Sand and Gravel and was responsible for most of their residential estimating services. Gord previously worked with another local contractor and helped me with some of the work we had done at our cottage almost 14 years ago. He leaves behind his wife of 35 years, kids and grandkids. He will be missed greatly by all who knew him.

    • Bob and Kathy used to camp on Preacher’s Point over 30 years ago

      • They sold their house to a young family who will be moving in in May this spring. We say goodbye to Bob and Kathy, who are moving just outside Ottawa to be closer to their family (kids, grandkids)

    • We welcome Martin Buckingham and his family, and look forward to meeting them soon

    • Some of the road work planned at the end of 2018 was not performed due to scheduling conflicts. BR and Blair Sand and Gravel to review any outstanding issues and tie in to work scheduled for 2019.

    End of Minutes.
