Annual Meeting - August 8, 2004

Meeting was held at Rod's Cottage with 14 members in attendance. Lon D. called the meeting to order at 11:15 and read the minutes from last year's meeting. Motion to approve the minutes was made by Jim W. and seconded by Grace B..

Business arising from last year's minutes:

1. Insurance: We pay annual insurance that covers general liability for people who manage road associations and are in charge of work to be done. We paid to St. Paul's Fire Insurance $388 for $1 million coverage. FOCA charges $480 for $1 million.

Motion by Rod T. to increase insurance from $1 million at present, to $2 million for next year at a cost of about $500. Seconded by Bob Y..

2. Lon shared information: on FOCA - we are members, on ministry pamphlet Keeping Lakes Clean and Green, and on the Longhorn beetle problem.

Business arising from minutes:

1. Jim W. reported on need to clear roadsides. He received a quote from a local company who would use a sickle mower to clear 5 km. of road for $800. Dave L. recommended Roundup. Several members objected, expressing concerns over environmental impact. Jim W. suggested a work weekend with everyone pitching in. Bob Y. suggested hiring a student. Bob J. offered to price it out with his company.

Motion by Bob Y.: Spend up to $800 on road clearing. Jim W. and Bob J. will do the research and make a decision. Seconded by Bill H.

2. Jim commended Boices on the great job they do keeping the roads in good repair.

Treasurer's report by Lon: $1046 in bank $600 outstanding receivables No liabilities and no outstanding bills to be paid Motion to accept treasurer's report made by M. Long and seconded by Jim W..

New Business:

1. New members - Roger's property has been sold, new people have been notified about road dues by Jim. Request was made for information about lot # 2. Lon will find out if it is occupied and if new owners know about road dues.

2. Election of officers:

President: Grace B. Vice President: Bill H. Secretary: Marguerite L. Treasurer: Lon D.

3. Setting of Association Fees: Miller's Lake: 150 (100+ 50 for Boice Bradley Road) + 25 for social Preacher's Point: 150 (100+ 50 for Boice Bradley Road) Rod: 150 (100+ 50 for Boice Bradley Road) Grace: 50 for each undeveloped lot Bill H. 200 +66 to Boice Bradley

4. Floor open for discussion: Following topics were discussed:

1. Clarification of right of ways. Do all members have right of way over all roads in our association? 2. Member asked if we need a slush fund for major improvements or problems (e.g. Spring washout at quarry area) 3. Jim W. recommended associations could save money on grading if all the roads are done at the same time. 4. Should we amalgamate into one road association with one meeting for all?

Conclusions: Items one and two will be left for discussion at next year's meeting.

Jim W. has the authority to grade all association roads when he does Preacher's Point Road.

Most members feel nothing would be gained with one large group. Jobs such as collecting fees could be cumbersome. This topic may be addressed again another year.

Note: the gate at the entrance to Miller’s will be locked for a day and re-opened in order to meet (legal) requirements to maintain "private road" status – this will be done by Jim W. at a time to avoid disruption of service, when he comes up mid-April
