Boyd R. read minutes from 2008 Annual Meeting and commented on brief 2009 meeting
Sad Announcement
It is with extreme sadness we announce that our previous long-time Road Manager, Jim W., passed away last Nov 23, 2009.
Jim will be sadly missed; he served us long and diligently and was a good friend as well.
Business arising therefrom
Boyd noted that the meeting is just Road Committee, Not Miller Lake Assoc. Meeting
Grace C. inquired about getting her driveway fixed.
Boyd asked that the issue be raised under new business and continued reviewing the 2008 minutes.
The group discussed the timing of the road work bee. The group agreed that the annual date would be the 1st Saturday following Labour Day each year. 2010 date is September 11th
Concerns were raised about brushing the sides of the road – will be addressed at the Road Bee.
Boyd discussed the various repairs necessary – most relating to the Miller Lake Section. Approximately $5000 worth of work is required.

Treasurer's report
Dave Long reported that since taking over the Miller’s Lake Treasurer’s role has been difficult.
$9108.00 is the current balance.
$9625 would be the balance if everyone paid. We owe the East Bay Assoc. $1266.73.
$8358.15 is what we have to work with now.
Preacher Lane- Balance $6566.00
Dave noted that payment by cheque is preferred
Dave noted that payment has been slow and difficult to administer
Dave requested that everyone pay on time and let him know if you move
Dave requested to have the miller lake fees be administered in the same fashion as the Preacher’s Point Association (invoiced in early spring; payable by June 1; discount for on-time payment).
Motion by Lon D. to have fees raised by $50.00 discounted by $50.00 if paid by June 1st

Miller Lake will get an invoice in the fall of 2010 and again in the Spring of 2011.
Lon suggested that Dave contact Troy Austen to confirm addresses of new owners
Lon reviewed why certain lots/properties on Miller’s Lake have different fees
Dave reviewed the various fees that Miller Lake Residents pay
Lon suggested that the different fees could be adjusted to be more consistent now
Motion by Dave to spend $100.00 on Quickbooks for Accounting
Seconded by James O.
Motion by Boyd to proceed with current estimate from Blair Sand and Gravel to repair the Miller section of road including using some of the contingency fund as necessary to complete the necessary repairs.

Dave suggested that fees for Millers be harmonized and presented to the Miller Lake Association next year for discussion.
Dave noted that Bill H. has not paid his dues; Bill noted that he built the road himself originally at a cost of $40,000.00.
Bill explained the history of the road.
Lon clarified that Grace B. contributed to the original road as well.
Before he pays his dues, Bill is looking for written certification that his family trust land only counts as one lot .
Bill H agreed that if more cottages are built on the 4 lots of the family trust lands they would pay a full share.
Bill agreed to pay a small portion of the Preacher land road to cover the cost of the hill after the Artisan turn off.
Bill inquired what makes up the fees.
Motion by Bob Y. to give authorization to Bill, Dave, Lon, Boyd, Brad to help solve Bill Hare issue.

New Business
Boyd raised the issue of renters - fast use of the road/ noise/ speed on the road/garbage.
Grace and Paul C./Grace S. requested that their spur road be maintained as part of Preacher’s Point road.
Boyd/the group clarified that spur roads are the responsibility of the cottagers using the spur road.
Virginia noted that the Woodhouse property is now a family trust: Virginia and Peter ? and Josh H. to be added.
Brad/Dave noted and thanked Boyd for all of his hard work on the road
Note: the gate at the entrance to Miller’s will be locked for a day and re-opened in order to meet (legal) requirements to maintain "private road" status – this will be done at a time to avoid disruption of service, approximately mid-April
